MetraGrain sells both new and used equipment and keeps track of each item by serial number. Their business includes direct sales and working with distributors.
TaskThe company requested to automate warehouse operations including:
1. Control of equipment balances in warehousesNeed to see how many models are in each warehouse and where specific equipment is located by serial number.

Difficulties1. Different serial numbersEquipment of the same model may be in different warehouses and each item is accounted for separately by serial number.
2. Pre-order processWe need to automate the process of creating pre-order documents, taking into account serial numbers, condition of equipment (new or used) and transferring data to CRM.
3. Different measurement systemsImplementation of documentation to accommodate different measurement systems for the U.S. and Canada.
Solution1. Inventory management and reservationWe have developed a functionality that allows you to track the availability of models in stock in real time. For each product, the system allows you to select a specific unit by serial number and also takes into account the condition (new or used). If the required item is not available in the warehouses, managers can mark the need to order for production.
2. integration with productionIf equipment is out of stock, managers can generate a request for production, specifying the required quantity and models. The system automatically generates the request and sends it to production. When the equipment is ready, it is registered in the warehouse with a link to the serial number and transaction for which the order was created, and the manager will receive a notification that the order has been received in the warehouse.
3. integration with CRMDevelopment of integration with KommoCRM allowed to synchronize data on orders and production in a single window. Now all data on transactions, orders and goods movement are automatically transferred to CRM, which facilitates process management.
4. document flow automationThe system automatically generates all necessary documents - from delivery notes to pre-order documents. Special attention was paid to accounting for measurement systems: for the USA, documents are generated in pounds, and for Canada in the metric system. We developed separate templates for documents to meet the requirements of both countries.
5. Analytics and forecastingAn analytics system was implemented for MetraGrain that tracks sales, purchases and inventory balances. The system compares sales data from the last 30 days and automatically calculates how many units to order or produce based on current inventory and sales forecast.
6. Working with serial numbersThe ability to search and track equipment by serial numbers has been implemented in the system. Now managers can see exactly which model was sold and where it is now, which excludes accidental resale of already booked goods.
7. Purchasing optimizationTo automate the purchasing department, a forecasting system was created to help optimize the number of orders based on sales and current inventory data.
8. Control of equipment delivery dates.Each item that has been shipped to a customer is recorded by date, with an update every day. In this way the system keeps track of the number of days elapsed since shipment, and if it exceeds the time allowed for delivery to the customer, it sends a notification to the department management.
9. Addressable storage (under development)There are plans to implement addressable storage in warehouses, which will allow the precise location of each piece of equipment (row, shelf, etc.).
Result:By automating all warehouse and manufacturing processes, MetraGrain has significantly reduced inventory management time and reduced the likelihood of equipment accounting errors.
